Are you an organized, hands-on professional who enjoys keeping both HR processes and the workplace running smoothly? Do you have experience in HR administration and feel comfortable coordinating with employees, suppliers, and external partners? We are looking for an HR & Office Administration Specialist to join our client's growing team in Budapest. In this role, you will combine HR administration, office and workplace coordination, and general backoffice responsibilities. 

Main responsibilities:

  • Ensure a well-organized, safe, and efficient workplace environment
  • Act as the main point of contact for office suppliers and service providers
  • Support managers and employees with office and workplace-related matters
  • Manage the procurement of general office and workplace supplies
  • Coordinate workplace changes and support office moves
  • Liaise with the building management regarding day-to-day office and facility-related matters
  • Coordinate and follow up on maintenance, repairs, and other facility issues
  • Manage and coordinate company parking spaces with the building management HR Administration
  • Support Health & Safety and Fire Safety activities, including the organization of mandatory annual employee trainings
  • Liaise with the health insurance provider regarding employee-related matters, including enrollments and terminations
  • Coordinate employees' occupational health examinations
  • Support timesheet collection, particularly for Customer Service shifts
  • Assist with payroll-related administration and follow-up IT & Asset Administration
  • Maintain an accurate inventory of IT equipment and other company assets, including laptops, monitors, and mobile phones
  • Coordinate the allocation, collection, and return of equipment during onboarding and offboarding 
  • Keep asset records up to date and ensure smooth administration of company equipment 

Required skills:

  • College degree
  • 2–5 years of relevant professional experience
  • Hands-on experience in HR administration is a must
  • Experience in office administration, back-office operations, facility management, or a similar area
  • Experience with payroll administration, timesheets, employee benefits, or occupational health administration
  • Strong organizational and coordination skills
  • A structured, reliable, and proactive approach to work
  • Good communication skills and confidence in working with employees, managers, and external partners
  • Good command of English
  • Ability to handle several administrative processes and follow-ups simultaneously
